GENERAL

ACADEMIC

This modality can be generated virtually and in person to study at another university subjects corresponding to their study plans, required or elective academic credits: theoretical, practical, and theoretical-practical, including clinical practices and degree work, which may later be approved by the UIS.

Virtual exchange is a new modality of educational interaction, in which students can take online courses (100% virtual) offered by higher education institutions with bilateral or network agreements, which could recognize the approved credits, without including travel to another city or country and can be carried out simultaneously with face-to-face academic activities at the student’s university of origin.

A virtual or face-to-face exchange program is in short a modality to study subjects of the curriculum in partner institutions.

RESEARCH

1.Attending the briefings that, on a semi-annual basis, the Foreign Affairs Office schedules and guides. In these meetings you will receive detailed information about the categories of mobility offered by the UIS in agreement with other universities in the country and abroad, requirements, rights and duties, institutional incentives, among other aspects.

3.Participating in counseling sessions provided by the coordination of the Student Mobility Program of Foreign Relations.

Keep in mind that each of the universities in agreement has defined different requirements, list of documents, procedure and calendar for the application. Therefore, the interested student must consult this information directly at the UIS Foreign Relations Office to make the correct decision and apply to the program of interest.

If you have already been adequately informed about the Mobility Program, we invite you to register, taking into account the current semester schedule. If you are selected, you will receive the technical sheet of the host university, with the specification of the procedure to be followed to formalize your application and the documents that you must prepare and upload in the document upload tab hosted in  Foreign Relations Procedures” (Link available according to dates of calls).

Having consulted in the following list: Universities and Curricula or on the website of the Destination University, the student must meet with the Director or Academic Coordinator of his school in order to review, in detail, the curricula of the UIS and the university in which he aspires to carry out the mobility program. This will determine the subjects that can be taken. The student must select academic load similar to the one he would have in the UIS.

If you aspire to do international mobility in a country whose mother tongue is different from Spanish, it is recommended to select between 3 or 4 subjects, taking into account that these will be taken in another language. Keep in mind that it is essential to have the prior endorsement of the Director and the corresponding School Council to take these subjects, through the format FRE.15. The student who intends to carry out a research internship or pursue a double degree program must also have the endorsement of his director and School Council in the same format with the subject “Degree Work”.

Once the registration phase has been completed via the web, we proceed with the application stage in the selected Mobility Program. For your information, each cooperating university has a specific application process. In Foreign Affairs they will provide you with information about each program, related to:

Each university has its own requirements, so it is important that the interested student is properly informed in UIS Foreign Relations about the requirements of each program and the dates on which the documents must be submitted.

Below – and as a guide – are some of the documents that may be requested by the cooperating universities. Please carefully check the documents requested by the university of your choice.

  • Certificate of grades with the grades of all the subjects taken to date. This certificate is issued by the Directorate of Admissions and Academic Registration.
  • Duly completed registration form (printed or virtual, depending on the selected university). This form must be signed by the student, the School Director and the Director of Foreign Affairs and not all universities request it.
  • Letter of motivation expressing the reasons for carrying out the mobility program.
  • Copy/scanner of the passport (for international programs). This document can be processed at the
  • Passport Office of the Government of Santander.
  • Copy of the certificate of proficiency in a foreign language when required and issued by the corresponding academic authority.

Note: For a better success in its application, it is suggested that the interested student begins to study the second language, minimum, one year in advance and prepares properly for the presentation of the respective certification exam before the authorized entities. See information about it.

  • Letter from the School Director with endorsement for the realization of the Mobility Program and the specification of the subjects that the student would be studying at the host university.( FRE.15)
  • Letters of recommendation from professors who know and can attest to the personal quality and academic performance of the student.
  • Recent photograph, document type (printed and electronic file).

If the student is at the host university and the agreed subjects are not available, he must update his proposal of subjects and inform the School Director as soon as possible to sign a new one FRE.15 and refer it to the UIS Foreign Affairs Office.

The School Director may authorize in writing the change of the subjects, after which it is up to the student to communicate the changes – also by written means – to Foreign Relations.

By presenting the certificate of proficiency of the foreign language, duly issued by the institution authorized by the government entity.

The Foreign Affairs Office presents to the host university the names and academic records of the students who meet the requirements for mobility. The selection of students is carried out by the cooperating institution, according to its resources and criteria defined by it. Once the host university studies your application, it proceeds to inform the UIS and the student if you have been admitted.

When it is up to the UIS to make the selection of students who aspire to participate in a specific mobility program, due to the limitation in the number of places available, this selection is made taking into account the following factors:

Compliance with the requirements established in the specific program that is proposed to be carried out.

Academic performance in the UIS, expressed in cumulative weighted average.

Inform the School Director of your decision to carry out the mobility stay, taking into account the gap in the academic calendar of the University and the current academic commitments with the semester that is in progress. If necessary, the student must request the Academic Council to correct the registration.

Inform the acceptance to Foreign Relations by sending an email to the address: movilidad@uis.edu.co.

If the mobility program is carried out abroad, personally process the necessary documents for emigration (passport, visa) and return to Colombia. In Foreign Relations, they will be able to provide guidance on the matter.

If the mobility program is carried out in Colombia, certify affiliation to the health system and have student medical insurance. If the program is carried out abroad, purchase international medical insurance for the time spent abroad and as established in the requirements for participation in the program.

Initiate the corresponding procedure for the location of your home. It is suggested to seek advice from the International Relations office of the host university.

If the mobility stay will be fulfilled abroad, it is advisable to purchase air tickets in advance to obtain more favorable prices. To do this, once the student receives the letter of acceptance from the host university, he must initiate the visa application process before the consular authorities of the country that will host him.

Deliver in Foreign Relations a copy of the receipt of payment of registration. If during your national or international stay the payment of tuition for the following period takes place, you must proceed to make it and send a copy of it to the mail movilidad@uis.edu.co

Once the student starts the academic mobility, send the FRE.16 (Certified format of stay), duly signed to Foreign Relations and proceeds to inform the Directorate of Admissions and Academic Registration of this novelty, so that the status of the student is modified in the information system to that of “Student in Exchange”.

Under mobility agreements, the host university has the power to select the students it will admit and is not obliged to report the reasons when its decision is negative. Generally, the cause of non-admission is due to quota limits.

However, when the host university communicates the reason why it has not accepted an application, the applicant student will be informed.

 

According to the provisions of the Undergraduate Student Academic Mobility Regulations (adopted by Agreement No. 029 of 2014 of the Superior Council), the completion of one (I) academic semester is allowed, with the option of extension for up to one (1) additional semester.

In double degree programs the duration will be from one to two years, according to the established agreement.

However, when the host university communicates the reason why it has not accepted an application, the applicant student will be informed.

The student must meet all the requirements established by the MOBILITY Program of the UIS and the host university. In turn, you must:

1. Carry out the registration and application process for the Program, taking into account the dates defined in the UIS Mobility Calendar.

2. By written communication, inform the Director of External Relations of the academic activities that it plans to carry out in the extension semester.

3. Submit a form (FRE.15), with the subjects or academic activities that you are going to carry out. The document must be signed by the student and the UIS School Director.

4. Present an official certificate of qualifications obtained in the first period of mobility, together with communication issued by the coordination of the exchange program of the host university by means of which the request for extension is granted viability.

5. External Relations shall examine each case and respond to the request in writing.

In addition to those contemplated in the Student Academic Regulations of the UIS, the following are the rights of the students in mobility:

a. Request and receive timely and complete information about the mobility program you are carrying out and about the relevant rules.

b. Request and receive certificates and certificates that accredit their participation in the mobility program and the academic results obtained.

c. Request and receive the letter of introduction of the UIS addressed to entities and authorities and competent, for academic matters such as for consular procedures of immigration and emigration.

d. Obtain recognition and homologation of academic activities carried out by the student in compliance with the terms and conditions in which the participation in the mobility program was approved.

In addition to what is contemplated in the Student Academic Regulations of the UIS:

  • Fulfill the academic commitments acquired by accepting your student status in this program.
  • Comply with the regulations of the UIS and the receiving institution.
  • Inform Foreign Relations of any unforeseen situation that affects the completion of the Program or the students’ conditions.
  • If the stay is international, purchase international medical insurance for the period of stay abroad.
  • If the mobility is national, the student must prove their affiliation to the Social Security System in Health and prove the payment of health and complementary fees of their enrollment.
  • Process in an agile and timely manner the documentation required for emigration from the country, stay abroad and return to the country of origin.

The student beneficiary of the institutional mobility initiatives must pay the value of the registration and other academic rights in the UIS, during each academic period, according to the current calendar and during the time that the selected program performs. No student is exempt from this obligation.

The student undertaking the mobility program does NOT have to pay financial tuition or other academic costs at the host university.

The student in mobility must pay the expenses of management, travel, health, lodging, insurance and maintenance incurred during the realization of the mobility program, unless explicitly these are covered totally or partially in the academic mobility agreement of which he is a beneficiary.

The UIS student who accredits the full fulfillment of all the commitments acquired in any mobility program developed in another region of the country or abroad, will be entitled to a 90% discount on the value of the registration of the academic semester immediately after the completion of this.

• If the student graduates in the first degree ceremony of the semester in which he obtained the tuition discount, this will be homologated by the degree rights.

• The UIS student will accredit the full fulfillment of the commitments acquired in the mobility program, by presenting the documents certifying the name of the receiving institution, name of the student, period of beginning and end of the mobility, the academic mobility program and the fulfillment of the activities and / or commitments assumed.

To access this benefit, the student must follow the return instructions, on the established dates fill out the link and attach the forms FRE.16, FRE.14 and certificate of grades or successful completion of the program, if you do not have a certificate you can fill out the form FRE.19 Instead, as a temporary meda.

In addition, subject to the budgetary availability of the University, the UIS student participating in a mobility program in foreign or national institutions may access the benefit of receiving a round trip ticket, for a single time, by air in economy class, to the place where he will make his stay for it must fill out the form FRE.13, add your passport, visa (if applicable) and supplier registration form that will be provided in the exit indications.

• This benefit is requested from the Directorate of Foreign Relations, and whoever receives it must comply with a service consideration of 32 hours that are evidenced in the format FRE.14.

On the other hand, according to the provisions of Agreement No. 029 of 2014 of the UIS Superior Council, and according to their socioeconomic status, the student beneficiary of the mobility program may also receive additional support from the University; of course, the granting of these possible supports is subject to the availability of budgetary resources that the Institution may have. These supports have been regulated by Resolution No. 2570 of 2014 of the Rectory with the purpose of financing:

• Installation costs: one (1) SMMLV for participants in national mobility programs and two (2) SMMLV for international mobility.

• Visa expenses: value stipulated by the Embassy, land ticket to Bogotá and one day of travel expenses (when it is outside Bucaramanga).

• International medical insurance, quoted by the Foreign Office.

• Support costs (only for socioeconomic stratum 1): national mobility one (1) SMMLV per month and international mobility 1.25 per month (maximum for 6 months).

• This benefit is requested from the Directorate of External Relations, through the format FRE.12 and whoever receives it must comply with a service consideration of 32 hours that are evidenced in the format FRE.14.

Note: The supports will be granted only once, for the expenses of international medical insurance and support the coverage will be for a maximum of 6 (six) months.

  • Be located in socioeconomic stratum 1, 2 or 3.
  • Not be a beneficiary of internal or external financing that covers the support provided.
  • For the support modality corresponding to installation expenses, the student must be accepted into a mobility program with a minimum duration of one (1) academic period.

• Through support assistance in the missionary activities of the University, which are evidenced in the format FRE.14, meet a consideration of 30 hours for each additional support modality you receive.

The quality of exchange student ends when any of the following conditions are met:

  • Completion of the mobility program.
  • For low academic performance, according to the regulations in force at the UIS and at the host university.
  • Sanction duly imposed at the host university or at the UIS.
    Expiration of visa or passport, as the case may be.
  • Do not have current registration at the UIS or at the host University.

Upon completion of the mobility program, the host university will issue the certification of qualifications in original and send it to UIS Foreign Affairs. As soon as they are received at the Institution, they are sent to the Admissions and Academic and School Registration addresses.

If the host university sends the grades to the student, it is up to the student to deliver them to the Directorate of Foreign Relations as soon as possible, so that from there they can proceed with their official presentation to the admissions and Academic and School Registration addresses.

For the above, in no case can a fixed deadline be established to define the receipt of the qualifications obtained at the host university during the mobility program.

1. Upon returning from the Mobility Program, the student must request the School Council to approve the subjects that were previously authorized to be taken at the host university.

2. The School Directorate must send to the Directorate of Admissions and Academic Registration the grades resulting from this homologation.

Outgoing international mobility is the possibility for students to exchange and take subjects from the academic offer of Higher Education Institutions at an international level that have a cooperation agreement with the UIS.

Where and how can I get information about the Program?

What is required to participate in a mobility program?

  1. Being a UIS student (with an active enrollment).

  2. Not having a conditional status.

  3. Having completed and passed at least the first semester of your program.

  4. Not having an active disciplinary sanction.

  5. Demonstrating proficiency in the host university’s language through an authorized test, if required.

  6. Processing your participation in the proposed program with Foreign Relations, following the established procedures and requirements.

How to formalize the application?

If you are selected, you will receive the host university’s technical sheet via email, specifying the procedure to follow to formalize your application and the documents you must prepare and upload in the document upload tab hosted at Foreign Relations Procedures(Link available according to call dates).


How are the courses to be taken abroad selected?

After consulting the link Universities and Study Plans or the Destination University’s website, the student must meet with the Director or Academic Coordinator of their school to review, in detail, the study plans of UIS and the university where they aspire to carry out the mobility program. This will determine the courses that can be taken. The student must select a similar academic load to what they would have at UIS.

If you aspire to carry out international mobility in a country whose native language is different from Spanish, it is recommended to select between 3 or 4 courses, considering that these will be taken in another language. Please note that it is essential to have prior approval from the Director and the corresponding School Council to take these courses, using the format FRE.15 (download .docx file). What should I do if the courses I was authorized to take are not available at the host university and I need to change them?

  • If the student is at the host university and the agreed courses are not available, they must update their course proposal and inform the School Director as soon as possible to sign a new FRE.15 (download .docx file) and send it to the UIS Office of Foreign Relations.

  • The School Director may authorize the course changes in writing, after which the student must communicate the changes – also in writing – to Foreign Relations.


How are second language skills validated?

By presenting the certificate of proficiency in the foreign language, duly issued by the institution authorized by the government.

How are students selected?

  • The Office of Foreign Relations presents the names and academic records of the students who meet the requirements to carry out mobility to the host university.   • When UIS is responsible for selecting students who aspire to participate in a specific mobility program, due to the limited number of available spots, this selection is made considering the following factors:

  • Compliance with the requirements established in the specific program you propose to carry out.

  • Academic performance at UIS, expressed in the cumulative weighted average.


What should you do if you are selected for a mobility program?

Inform the School Director of your decision to carry out the mobility stay, taking into account the mismatch in the academic calendar of the University and the current academic commitments with the semester in progress. If necessary, the student must request the Academic Council to correct the enrollment.

Inform Foreign Relations of your acceptance by sending an email to: movilidad@uis.edu.co.

If the mobility program is carried out abroad, personally process the necessary documents for emigration (passport, visa) and return to Colombia. Foreign Relations can provide guidance on this matter.

If the mobility program is carried out in Colombia, certify affiliation with the health system and have student health insurance. If the program is carried out abroad, acquire international health insurance for the duration of your stay abroad and as established in the program participation requirements.

Start the corresponding process for housing placement. It is suggested to request advice from the International Relations Office of the host university.

If the mobility stay will be carried out abroad, it is advisable to purchase air tickets in advance to obtain more favorable prices. For this, once the student receives the acceptance letter from the host university, they must start the visa application process with the consular authorities of the country that will host them.

Submit a copy of the tuition payment receipt to Foreign Relations. If during your national or international stay the payment of tuition for the next period takes place, you must proceed to make it and send a copy to the email movilidad@uis.edu.co

Once the student begins the academic mobility, they must send the FRE.16 (download the stay certificate in .docx format), duly signed to Foreign Relations, and this office will inform the Admissions and Academic Registry Directorate of this update, so that the student’s status is changed to “Exchange Student” in the information system.


If I am not accepted by the host university, can I know which requirement I did not meet?

Within the framework of the mobility agreements, the host university has the power to select the students it will admit and is not obligated to inform the reasons when its decision is negative. Generally, the reason for non-admission is due to limited spots.

However, when the host university communicates the reason for not accepting an application, the student applicant will be informed.


What is the duration of the mobility programs?

As stipulated in the Undergraduate Student Academic Mobility Regulations (adopted by Agreement No. 029 of 2014 of the Superior Council), the completion of one (1) academic semester is allowed, with the option of extending for an additional (1) semester.

In dual degree programs, the duration will be one to two years according to the established agreement.

However, when the host university communicates the reason for not accepting an application, the student applicant will be informed.


How to request an extension of the mobility program?

The student must comply with all the requirements established by the UIS Mobility Program and the host university. In addition, they must:

  1. Complete the registration and application process for the Program, taking into account the dates defined in the UIS Mobility Calendar.

  2. Inform the Director of Foreign Relations in writing of the academic activities they plan to carry out during the extension semester.

  3. Submit the form (download .docx file), with the courses or academic activities they will undertake. The document must be signed by the student and the UIS School Director.

  4. Submit the official transcript of grades obtained during the first mobility period, along with communication issued by the host university’s exchange program coordination, granting viability to the extension request.

  5. Foreign Relations will study each case and respond in writing to the request.


What are the student’s rights?

In addition to those contemplated in the UIS Academic Student Regulations, the rights of the mobility student are:

  1. To request and receive timely and complete information about the mobility program they are carrying out and the relevant regulations.

  2. To request and receive certificates and certifications that accredit their participation in the mobility program and the academic results obtained.

  3. To request and receive the UIS presentation letter addressed to competent entities and authorities, for academic matters as well as for immigration and emigration procedures.

  4. To obtain recognition and validation of academic activities carried out by the student in compliance with the terms and conditions under which their participation in the mobility program was approved.


What are the student’s responsibilities?

In addition to what is contemplated in the UIS Academic Student Regulations:

  • To fulfill the academic commitments acquired when accepting their status as a student in this program.

  • To comply with the regulations of UIS and the host institution.

  • To inform Foreign Relations of any unforeseen situation that affects the realization of the Program or the student’s conditions.

  • If the stay is international, to acquire international health insurance for the period of stay abroad.

  • If the mobility is national, the student must certify their affiliation with the Social Security Health System and certify the payment of health and complementary fees of their enrollment.

  • To process the required documentation for emigration from the country, stay abroad, and return to the country of origin in a timely and efficient manner.


How is the status of a mobility student lost?

The status of an exchange student ends when one of the following conditions is met:

  • Completion of the mobility program.

  • Due to low academic performance according to the current regulations at UIS and the host university.

  • Sanction duly imposed at the host university or at UIS.

  • Expiration of the visa or passport, as applicable.

  • Not having an active enrollment at UIS or the host university.


What are the costs for participants in the Mobility Program?

  • The student beneficiary of institutional mobility initiatives must pay the tuition fee and other academic fees at UIS during each academic period, according to the current calendar and during the time they are carrying out the selected program. No student is exempt from this obligation.

  • The student carrying out the mobility program DOES NOT have to pay financial tuition or other academic fees at the host university.

  • The mobility student must pay the management, travel, health, accommodation, insurance, and living expenses incurred during the realization of the mobility program, unless these are explicitly covered in whole or in part in the academic mobility agreement of which they are a beneficiary.


What benefits and incentives does UIS offer to participating students?

The UIS student who accredits the full compliance of all the commitments acquired in any mobility program developed in another region of the country or abroad, will be entitled to a 90% discount on the tuition fee of the academic semester immediately following the validation of the activities carried out in this.

  • If the student graduates in the first graduation ceremony of the semester in which they obtained the tuition discount, this will be validated for the graduation fees.

  • The UIS student will accredit the full compliance of the commitments acquired in the mobility program, by presenting the documents certifying the name of the host institution, the student’s name, the start and end period of the mobility, the academic mobility program, and the fulfillment of the activities and/or commitments assumed.

To access this benefit, the student must follow the return instructions, fill out the link within the established dates, and attach the formats.

Selection criteria:

Amounts of support:

  1. International airfare in economy class, purchased by the Directorate of Foreign Relations.

  2. For installation expenses, one (1) SMLMV for national mobility programs and two (2) SMLMV for international mobility programs.

  3. For visa procedures, the value stipulated by the respective embassy, plus one (1) day of per diem for the student, provided that the embassy is located outside Bucaramanga.

  4. For international health insurance, the value of the invoice provided by the student, under the cap estimated by the Directorate of Foreign Relations in each call.

  5. For living expenses, for the duration of their national or international stay, not exceeding one academic semester (up to 4.5 months), one (1) SMLMV per month for national mobility programs, and one point twenty-five (1.25) SMLMV per month for international mobility programs.


What are the requirements to access additional support?

To be a beneficiary of additional financial support, the student must meet the following criteria:

  • Belong to a socioeconomic stratum 1, 2, or 3.

  • Demonstrate academic excellence through their GPA.

  • Belong to a differential population or in a vulnerable condition.

  • Not be a beneficiary of internal or external financing that covers these supports.

  • To receive support for installation expenses, the mobility must have a minimum duration of one academic semester.

What commitments does the student beneficiary of additional support acquire?

Students who receive additional support must provide a service in return by supporting institutional activities at UIS.

Condition:

  • 30 hours of service must be completed for each type of support received.

  • Evidence of this activity must be recorded in the FRE.14 form.

How long will it take to receive my grades?

At the end of the mobility program, the host university will issue the original grade certification and send it to UIS Foreign Relations. As soon as it is received by the Institution, it will be forwarded to the Admissions and Academic Registry Directorate and the School Directorate.

If the host university sends the grades to the student, it is the student’s responsibility to submit them to the Foreign Relations Directorate as soon as possible, so that they can be officially presented to the Admissions and Academic Registry Directorate and the School Directorate.

For the reasons stated above, it is not possible to set a fixed deadline for the receipt of grades obtained at the host university during the mobility program.

How do I request the validation of the grades I obtained during my exchange or research internship?

  1. Upon returning from the Mobility Program, the student must request the School Council to validate the courses that were previously authorized to be taken at the host university.

  2. The School Directorate must send the grades resulting from this validation to the Admissions and Academic Registry Directorate.
